Tegeta Holding and Helio AI: Better Analytics and More Flexible Recruitment

Tegeta Holding was already using recruitment software before partnering with Helio. The company had tried several systems, but none fully met the recruitment team’s needs — particularly when it came to analytics, flexibility, and process automation.
Around nine months ago, Tegeta Holding started managing its recruitment processes with Helio.
We spoke with Nutsiko Ebanoidze, Head of Talent Acquisition and Adaptation Unit at Tegeta Holding, about why the company decided to change its recruitment platform, how the transition went, and how the team’s needs helped shape new functionality in Helio.
The challenge: The data was there, but it didn’t tell the full story
Tegeta’s recruitment team already had experience working with different recruitment systems. The challenge was no longer simply digitizing the recruitment process. The team needed a platform that could provide a clearer and more complete view of its recruitment activities.
One of the key priorities was source analytics: understanding which channels were bringing in relevant candidates and where additional resources were worth investing. The team also needed better visibility into what was happening throughout the recruitment process.
Why did Tegeta choose Helio?
When choosing a new platform, Tegeta looked beyond the functionality available at that moment. The team also considered how flexible the system was, how the product was evolving, and whether Helio’s development plans aligned with Tegeta’s future needs.
The experience of working with the Helio team also influenced the decision.
“They were very proactive and always responded quickly to our feedback.”
For Tegeta, it was important to work with a team that listens to users’ real workflows and takes their feedback into account when developing the product.
As Nutsa explains, in the long term, Helio either already offered the functionality Tegeta needed or had development plans that aligned closely with the team’s priorities.
The transition to Helio
With Helio, teams can start using the platform within 24 hours.
At the same time, moving to a new platform still requires some adjustment. Teams develop established working habits, and integrating a new system into everyday processes can take time.
For Tegeta, support from the Helio team was particularly important during this transition.
“When you are used to the structure and functionality of another program, adapting to a new system can be difficult. However, the Helio team was so supportive throughout the process that they made navigating the system as easy as possible for every member of our team.”
The team was also able to transfer existing candidate information from the previous system into Helio. This allowed Tegeta to move to the new platform without losing its existing data or having to restart its recruitment processes from scratch.

How Tegeta’s needs shaped Helio’s analytics
Tegeta’s team needed a better way to understand what was happening at every stage of the recruitment process.
More specifically, they needed answers to questions such as:
- How many candidates move from one stage to the next?
- How many candidates drop out at each stage?
- What are the main reasons candidates are rejected?
- How much time do candidates spend at each stage?
This became valuable feedback for the Helio team and contributed to the further development of its analytics functionality.
Today, Helio’s analytics gives Tegeta a more complete view of the recruitment process.
The team can now see not only the final hiring outcome, but also what happens at every stage along the way.
By combining source and stage analytics, Tegeta can evaluate its recruitment process more comprehensively — from the channel through which a candidate was sourced to the final outcome.
What would Tegeta’s team recommend to other HR teams?
Nutsa recommends that companies use specialized software to manage their recruitment processes. She highlights Helio for its simple navigation, continuous development, and ongoing team support.
Based on her experience, choosing recruitment software should be about more than comparing feature lists. It is also important to consider how easily a platform fits into the team’s day-to-day work and whether it can evolve alongside the needs of real recruitment processes.
The development of Helio’s analytics functionality is one example of this approach: a specific need identified by Tegeta’s team became direct product feedback and, ultimately, new functionality that helps recruitment teams understand what happens at every stage of the hiring process.
Helio’s goal is to create a workflow where recruitment teams have the data they need, recruiters spend less time on repetitive tasks, and more time is available for getting to know candidates and making better-informed hiring decisions.
